Frequently Asked Questions

What clients ask before they sign on.

Most questions we get fall into three areas: visa lifecycle and PRO work, payroll and WPS compliance, and how working with us actually runs day to day. If you do not find your answer here, the contact page is the fastest route to a written response.

Visa & PRO

Visas, renewals, cancellations.

Standard employment visa processing through MOHRE typically takes 5 to 10 working days for initial approval, followed by a further 3 to 5 working days for Emirates ID issuance. Processing times vary depending on the applicant’s nationality, document readiness, and current MOHRE workload.

ClearPass tracks every application centrally and provides status updates at each stage, so you always know exactly where each file stands.

Yes. We handle employment visa processing for all workforce categories, from skilled professionals and office staff to blue-collar, construction, hospitality and domestic workers. Our pricing scales with volume, making us a sensible partner for businesses managing larger worker populations across multiple trade licences.

Yes, and this is one of our core strengths. We coordinate visa cancellation, Emirates ID deactivation, EOSB calculation and final settlement payroll as a single workflow, ensuring clean offboarding with no compliance gaps or settlement delays.

For clients who use ClearPass for both visa and payroll, this is one of the most visible operational benefits of the combined engagement.

All of them. MOHRE (Ministry of Human Resources and Emiratisation) for employment visas and labour cards, ICP (Federal Authority for Identity, Citizenship, Customs and Port Security) for residency, Tasheel for typing centre processing, Amer for residency services in Dubai, GDRFA for residency in some emirates, and the various accredited medical fitness centres.

You deal with one named account manager at ClearPass. We deal with the queues.

Yes. We handle full sponsor-transfer applications, including cancellation of the previous visa, processing the new employment visa, medical fitness, Emirates ID and labour card. Transfers typically take two to four weeks end-to-end, depending on the employee’s nationality and document readiness on both sides.

Payroll & WPS

Payroll, WPS, and gratuity.

The Wage Protection System (WPS) is a mandatory electronic salary payment system regulated by MOHRE and the UAE Central Bank. All private-sector employers in the UAE must submit payroll via WPS each month, with salary amounts matching the contracts on file with MOHRE.

Missing a WPS deadline or submitting incorrect salary data can result in fines, a freeze on new visa applications, and in serious cases, trading licence suspension. ClearPass ensures on-time WPS submission every cycle, with full reconciliation before submission to catch errors before they reach MOHRE.

End-of-Service Benefit calculations follow UAE Labour Law (Federal Decree-Law No. 33 of 2021), based on basic salary, length of service, reason for termination, and accumulated leave balance. We calculate gratuity entitlement, leave encashment, notice pay, and any other final settlement components.

We provide a full itemised breakdown to both the employer and the departing employee, which prevents disputes and keeps the offboarding clean.

Yes. Many clients run this arrangement. Payroll is a standalone service. We integrate with your existing PRO workflow and finance team, taking only the payroll and WPS responsibilities.

If you later decide to consolidate visa and payroll under one provider, the transition to taking on the PRO work as well is straightforward because we already hold your workforce master data.

Typically two to four weeks from the point we have your employee master data, salary structures and bank details. The first month often runs in parallel with your existing provider for verification, then we go live on the second cycle.

The transition is designed to be invisible to your employees, with payslips and bank transfers continuing on the same dates without interruption.

We track annual leave, sick leave and unpaid leave balances for every employee on payroll. Leave encashment is calculated in line with UAE Labour Law and your company’s leave policy, then integrated into the relevant payroll cycle or final settlement.

Employees get visibility of their current balance through the payslip each month.

Working with ClearPass

Pricing, compliance, getting started.

Pricing is per-employee per-month for payroll, and per-application for visa services, with volume discounts as workforce size scales. There are no mark-ups on government fees. We provide a written, itemised proposal after a short consultation call, so you know exactly what you are paying for before any work begins.

Most clients receive their proposal within 24 hours of the initial call.

Yes. We handle all employee and payroll data in accordance with the UAE Personal Data Protection Law (PDPL) and operate under data governance practices aligned with UAE regulatory standards. Payroll and visa data is stored securely with controlled access, audit logs, and clearly defined retention periods.

ClearPass HR Solutions is a service brand of Flexitalent, which is a Farnek Group company. The Farnek Group has operated in the UAE for over 46 years and is one of the country’s longest-established integrated services groups.

Flexitalent is its workforce management arm, with thousands of employees under management across the Emirates. ClearPass is the focused visa and payroll service offered to external clients, operating with the same compliance standards and government relationships that have served the parent group for decades.

We take an AI-enabled approach to improve document handling, workflow tracking, renewal reminders, and process visibility. Practically, this means every visa file and payroll cycle has a tracked status, every renewal surfaces on the calendar well before its deadline, every document collected for an application is logged, and you can see the state of any file in your account at any time.

The technology supports the team's judgment, it doesn't replace it.

Anything from a single hire to a workforce of several hundred. The model scales both ways. SMEs with their first few employees, mid-market companies running 50 to 200 staff, and enterprise accounts with large blue-collar workforces.

We do not have a minimum engagement size, but the per-employee pricing becomes more competitive as volume scales.

Call or email, or use the form on the contact page. We will schedule a short consultation to understand your current setup and workforce size, then return a written proposal with pricing and scope.

From signing the engagement letter to going live typically takes one to four weeks, depending on complexity and the number of employees involved.
